- Business Users & Agents: Team members who access the GR Suppliers dashboard to manage customer conversations, orders, catalogs, and templates.
- WhatsApp End Customers: Individuals who send inquiries, request quotes, or place orders through our verified WhatsApp Business account (+92 313 8844446).
- Website Visitors: Individuals browsing our public web pages and documentation.
2Information We Collect & Process
We only collect and process information strictly necessary to provide conversational AI customer service and order management:
💬 WhatsApp Messaging Data
Phone numbers, sender profile display names, inbound/outbound message text, audio/media attachments, message delivery timestamps, and read receipts received via Meta Webhooks.
📦 Customer & Order Records
Customer names, delivery addresses, product specifications, quantities, prices, tracking numbers, and delivery statuses.
🔑 Account & Authentication
Business account emails, authenticated session tokens, encrypted credentials, and team role permissions.
📚 Business Catalog Knowledge
Product lists, pricing sheets, FAQ documents, and operational guidelines uploaded by authorized business administrators.
3How We Use Information & Meta Platform Compliance
We use processed data exclusively for:
- Delivering fast, real-time AI and human customer support over WhatsApp.
- Executing and confirming customer product orders and sharing delivery tracking updates.
- Managing Meta-approved WhatsApp message templates (Utility & Marketing notifications).
- Ensuring workspace data isolation and preventing unauthorized access.
4AI-Assisted Processing & Safeguards
When AI mode is active, incoming WhatsApp customer inquiries are processed with our Retrieval-Augmented Generation (RAG) system to generate helpful, grounded responses strictly referencing our business catalog.
Human agents can take over conversations at any time. Conversation transcripts are securely cached in our encrypted database to maintain conversation context.
5Service Providers & Infrastructure
To deliver high reliability, our platform utilizes tier-one enterprise cloud infrastructure:
- Meta Platforms, Inc. (WhatsApp Cloud API): For enterprise message routing and template approval.
- Cloudflare (Workers & R2 Storage): For edge hosting, TLS 1.3 encryption, and asset storage.
- Supabase (PostgreSQL & Auth): For encrypted database storage and access control.
- n8n: For automated workflow routing and webhook processing.
6User Data Deletion Instructions (GDPR & Meta Compliance)
In compliance with Meta Platform Terms, GDPR, and global data privacy standards, any user or WhatsApp customer has the absolute right to request the complete deletion of their personal data and conversation history.
How to Request Data Deletion:
- Email Request: Send an email to grsuppliersllc@gmail.com with the subject line “Data Deletion Request”.
- Information to Include: Provide your WhatsApp phone number or registered account email address.
- In-App Deletion: Business users can directly delete conversations and customer profiles within the dashboard under the Inbox or Customers tabs using the Delete option.
- Turnaround & Confirmation: All associated customer records, messages, and identifiers will be permanently purged from our database within 30 days of verification. You will receive a confirmation email upon completion.
7Data Retention & Security
We retain operational records as long as your business account is active or as necessary to fulfill order commitments, resolve disputes, and comply with commercial accounting laws.
All data in transit is protected using TLS 1.3 encryption, and database records are isolated per organization with role-based security policies.
